FM Transformation Is a Business-Model Decision

Cost pressure, AI and provider relationships are converging

Facilities management is being asked to reduce cost, absorb technology and become more strategic at the same time. JLL's 2025 Global State of Facilities Management study covered 248 organisations headquartered in more than 20 countries. It reported that 84% identified operating-cost escalation and budget constraints as a top concern; 28% had embedded AI in FM operations, rising to 46% among organisations with more than 100,000 employees; and 78% prioritised strategic partnership and business understanding when selecting providers.[10]

Analysis

The findings suggest that FM transformation cannot be reduced to software procurement. Technology affects workflows, skills, service design, contracts, data ownership and the line between self-performance and outsourcing. A predictive-maintenance tool has limited value if asset records are weak, technicians do not trust work orders or the contract rewards activity rather than avoided failure.

Osmos Global analysis: leaders should decide the operating model before selecting the platform. Which capabilities create strategic differentiation? Which require scale? Who owns asset data? How are savings, risk and experience balanced? What evidence will show that a provider acts as a partner rather than a transaction processor?

The near-term agenda is disciplined. Standardise asset and service taxonomies. Establish cost-to-serve and failure baselines. Redesign a small number of high-value workflows. Align incentives to outcomes that can be measured without gaming. Invest in supervisor and technician adoption.

The future of FM is not simply “more digital.” It is a better allocation of accountability, knowledge and evidence across owner, occupier and service provider.
